Create Controlled Document Template

Why

Capitalize Controlled Document content with Controlled Document Templates

How   

You can now create Controlled Document templates in the ‘Controlled Document Management’ application.
To create a new template, use the ‘Document Template’ command from the ‘Create’ menu available in the ‘Controlled Document Management’ home page.
In the ‘Document Template’ dialog define the following information:
  • Title & Description of the template
  • File – upload a file to the template
  • Associated Library Classes  - select classification classes, where any document created from this template will be automatically classified.

All Controlled Document Templates are listed in the Controlled Document Management Home Page, under the ‘Document Templates’ category.

Note: You need to have Leader access to create Controlled Document Template.

Why

Standardize Controlled Document creation with Controlled Document Templates

How   

You can now create a new Controlled Document based on Template.
To create a new Controlled Document from a Template, use the ‘Controlled Document From Template’ command from the ‘Create’ menu in the ‘Controlled Document Management’ home page.

    The newly created Controlled Document:
    • Inherits the file from the template
    • Is classified in all Classification Classes defined in the template

    Traceability is kept between the template and the instantiated Controlled Document

    Associate Controlled Documents as Specification

    Why

    Streamline Controlled Document Management process by associating Controlled Documents as Specifications

    How   

    You can now attach Controlled Document as specification to Physical Product and Logical Reference in Product Structure Editor app


    Controlled Document – New Commands in widget

    Why

    Streamline Controlled Document Management process with new commands in widget

    How   

    You can now perform the following operations on selected Controlled Document in the ‘Controlled Document Management’ application:

    • Change Owner
    • Duplicate
    • Compare
    • Share
    • Move
    • Subscriptions

    The commands are available for selected Controlled Document in the below:

    • Toolbar
    • Action Menu (right mouse click menu)


    Support Files Categorization

    Why

    Improve Controlled Documents distribution by sequencing and categorizing files

    How   

    Two new columns ‘Sequence Number’ and ‘File Category’ were added in Files tab of selected Controlled Document, allows you to:
    • Set the sequence of the files in the consolidated PDF file.
      Note: this option is available only in case the Controlled Document contains multiple files.



    • Set the category of each file according to your needs.
      Note: This option is available only when the file categorization option is enabled.



    Note: This enhancement is available on premise only.

    PDF Rendering

    Why

    Improve Controlled Documents distribution with PDF rendering capability

    How   

    A new command ‘Generate PDF’ is introduced, allowing you to manually trigger the creation of PDF rendering file for Controlled Document.
    The ‘Generate PDF’ command is available for selected Controlled Document in:
    • Toolbar
    • Controlled Document action menu
    • Files action menu & toolbar (In the Files tab in the Information panel)
    • Preview page

    Notes:

    1.This enhancement is available on premise only.
    2.We are using Adlib to generate the PDF.
    3.To have this command available you need to enable PDF rendering in manual mode.
