Bookmark Lifecycle and Sharing

Introduction

The Bookmark Editor app lets you organize and manage your CAD and non-CAD content in bookmarks. You can create a new bookmark for any of your new content and add sub-bookmarks to further categorize your content. You can create a private or shared bookmark structure and manage your content depending on the business process requirements.

The lifecycle mechanism manages the transitions of the content maturity state from its creation until it becomes obsolete. Content can be promoted to a specific maturity state based on the business process criteria and conditions.

Share Bookmarks to a limited number of stakeholders 

Often, you need to use bookmarks to collaborate with different stakeholders before the bookmark and its content are made available to all the users in the collaborative space.

Sharing a bookmark lets you share specific bookmarks and its content with other users depending on the business process requirements. You can also share the bookmarks with user groups or collaborative spaces. To begin sharing, click on the Share icon from the toolbar or right-click on the bookmark and select the Share option from its context menu.

The share dialog box displays the current list of users that the selected bookmark is shared with, and the permission option granted to each user.

Select the user and its permission option.

Click Apply to complete the sharing operation.

Wondering what each permission option really means?  

The following table explains the actions available for respective permission options when you share a bookmark in a Draft state with other user in the same collaborative space. The permission to execute these actions varies based on the user access level (Leader).

When the content of the bookmark is ready to be made available to all users in the collaborative space, you can promote the respective bookmarks to the In Work state.

Enable Bookmarks to All the Stakeholders

Sometimes, a bookmark and its content needs to be made available to all the stakeholders in the collaborative space from the beginning of the project. This is particularly useful while working together on a complex project that requires high collaboration and efficiency. For this to happen, all the bookmarks must be in the In Work state. Manually promoting each new bookmark from a Draft to the In Work state is often a monotonous task.

In this case, your admin can configure the initial state of the newly created bookmark to be “In Work” instead of a “Draft” state. This configuration setting is available from the R2021x FD07 and can be done as shown below.

Where: Collaborative Space Configuration Center widget

How: In the left pane, click Bookmark and select the check box for When creating a Bookmark, set state to In Work

Note: This configuration does not apply to the Bookmark Roots or Bookmarks created in the Collaboration and Approvals.
