Bookmark Editor | Know Your Apps

What it is:

  • The Bookmark Editor functions much like a file explorer or a personalized filing system for your data within the 3DEXPERIENCE platform's Collaborative Space
  • It allows you to create "bookmark folders" to categorize and structure your content, and share it with others if needed.
  • A Bookmark does not store data. It only allows to order and facilitate access to the content in a collaborative space.

Bookmarks themselves are essentially like references or links to your data, meaning you can have the same content referenced in multiple bookmarks without duplicating the actual content in the Collaborative Space.

Key Features and Functionalities:

  1. Organization and Structuring:
    • Bookmark Folders: Create hierarchical structures to organize data based on projects, departments, or any other criteria.
    • Drag-and-Drop: Easily add existing content from the 3DEXPERIENCE platform, SOLIDWORKS, or upload new content (CAD models, documents, images, videos, etc.) from your local computer by dragging and dropping them into bookmarks.

  2. Data Management:
    • Updating: Bookmarks store references to content, so if content is updated, the changes are reflected across all bookmarks referencing it.
    • Lifecycle Operations: Perform actions like changing the maturity state (e.g., Draft, In Work, Frozen, Released), reserving/unreserving data (to control edit access), and even duplicating items and structures.
    • Share and Collaborate: Share bookmark folders with other users in your Collaborative Space, granting them read or edit access.
    • Customizable Columns: Tailor the displayed columns to show relevant information (Attributes) about each content, such as Title, Description, Owner, Maturity State, etc. This helps in efficient data sorting and filtering.
    • Remove vs. Delete:
      • Remove: Removes a file from a specific bookmark, but the file remains on the platform in the Collaborative Space.
      • Delete: Permanently deletes the file from the entire platform (use with caution as this is irreversible).
    • Move Content: Relocate files from one Collaborative Space to another.
    • Ownership Management: Reassign ownership of data to different users.

  3. Viewing and Access:
    • Multiple Views: Switch between different display modes like Tree View (detailed information in rows), Tile View (compact tiles), and Thumbnail View (larger images).
    • Integration with SOLIDWORKS: The Bookmark Editor can be accessed directly within SOLIDWORKS, allowing users to organize and find their data seamlessly.
    • Any Device, Anywhere: As a cloud-based application, it allows users to access and manage their bookmarks from any device with internet access.
    • Here are the different access rights you can give to a member:

Can View: Provides permissions to search for content and view its properties

Can Read: Provides Can View permissions and can explore, use and open the content

Can Edit: Provides Can Read permissions and can modify (add/delete) content

Can Manage: Provides Can Edit permissions and possibility to grant Can Edit access to someone else

  4. Important Points, Troubleshooting, and Visibility:

    • Collaborative Space Access: Bookmarks are tied to Collaborative Spaces. If a user doesn't have access to the Collaborative Space where a bookmark is saved, they won't see it.
    • Maturity State: Bookmarks in "Draft" maturity state are typically only visible to the creator. To make them visible to others, the maturity state needs to be changed to "In Work" or higher.
    • Filters: Ensure no filters are enabled that might be hiding certain bookmarks (e.g., "Owned by Me").
    • Indexing Delays: Sometimes, there can be a slight delay in reflecting recent modifications or uploads due to the indexing process. Switching to "Authoring mode" can help see the latest changes.
    • Be Careful with Deleting Data: There are two distinct actions for removing content:

      • Remove: This only removes the link to the item from a bookmark. The item itself remains in the Collaborative Space.
      • Delete: This action permanently deletes the data from the Collaborative Space and the entire platform. This is irreversible and should be used with extreme caution.

Make sure you understand which option you are using before proceeding.

  5. App Availability: Included with the most basic role: Collaborative Industry Innovator (CSV)
    • Native App (Installed 3DEXPERIENCE)
    • Web App (Web Browser/ in 3DDashboard)
    • Also integrated within SOLIDWORKS Desktop

In essence, the Bookmark Editor is a powerful tool on the 3DEXPERIENCE platform that helps users keep their data organized, easily find critical information, and facilitate collaboration among team members.
