Introduction
Document Management is an intuitive app for creating, uploading, and managing all types of documents. It can be a design document, manufacturing process document, or any document relevant to your organization. But what if you want to seamlessly update your Microsoft Office document present in the My Documents widget? There are multiple ways to do this. This post will help you understand how you can update Microsoft Office documents using the Collaboration for Microsoft app.
Updating Microsoft Office Documents
Most often, you need to perform minor or major changes in the document available in the 3DEXPERIENCE platform. Once these changes are done, it is also important to ensure that the latest updated document is available in the 3DEXPERIENCE platform. To do this for the non-Microsoft Office Documents, you need to click on the Edit command which downloads the file. Then when the changes are done, you need to upload the updated file back to the 3DEXPERIENCE platform.
However, in case of Microsoft Office documents, the update can be done more seamlessly with the help of the Collaboration for Microsoft app. The action bar section in the Document Management widget has several commands which are widely used for performing various operations on documents. You can select the document and click on Edit. This automatically starts the download and opens the document in appropriate Microsoft Office application for you to start your update.
It is very important that the same document is locked for any concurrent modification by other users in the company. This is taken care of by the application, and you can see the name of the person who is currently editing the document in reservation status column. Until the document is unlocked or the update is complete, the document remains locked.
With the installation of the Collaboration for Microsoft comes the new 3DEXPERIENCE tab inside your Microsoft Office application. This tab gives you access to all the important commands that are useful to manage your document available in the 3DEXPERIENCE platform. Once your changes are complete, you can simply click on the Save command. This ensures that the updated file is saved in the 3DEXPERIENCE platform.
Note: From the latest enhancements in R2021x FD06, you can now access the Preview, Edit, and Update commands from the context menu of a document in the 3DSearch, Bookmark Editor, Issue Management, and Route Management apps.

What if you don’t want to leave your active session of Microsoft Office? It is possible to search and open documents available in the 3DEXPERIENCE platform with the help of the Collaboration of Microsoft app. All you need to do is connect to the 3DEXPERIENCE platform and use Search command in the 3DEXPERIENCE tab.
