Managing Documents with Multiple Files

Did you know you can manage your documents using the Document Management app? It enables you to perform many actions on the document such as:

  • Uploading files and creating new documents
  • Management of the document lifecycle
  • Edit and update
  • Download
  • Deletion
  • Review the relations of the document

Unlike in the classical ENOVIA Collaboration and Approval app, a document can only have a single file attached to it in the Document Management app. 

This file is the single source of truth that defines the document and is governed by it. When the document is “In Work,” the file can be modified by authorized users. When the document is released, the file is locked against further modifications.

In cases where there is a need to link more than one file to the same original document, the current best practice as of R2021x FD06 is to:

  • Create a new document for the new file
  • Link the new document to the original one as an “attachment”

The attachment link enables separate management of each document independently.


An example of such an attachment could be a PDF file generated out of a MS Word file:

  • The MS Word document is the master document that will manage any changes on the file
  • The PDF document is generated and added as an “attachment” to the MS Word document


Documents and Collaborative Spaces

In certain cases, you may want to expose only specific “derived” documents to the users, while the original documents are visible only for the authors.

In this case, you can work with two different collaborative spaces:

  • Collaborative space1:

          Used to manage the master document (example: MS Word) that can be modified by the relevant users

  • Collaborative space 2 (with “Public” visibility to allow all company users to view the content):

         Used to review the derived files from the master documents. These can be PDF documents that are generated from the master documents and can be used to view their content without modifying them.

CAD Documents – Derived Output

Derived outputs are secondary files generated from conversion to another format of the master CAD file (3D or 2D) of an object.



As CAD documents are stored in the platform as “Engineering Items,” their derived outputs are captured as “Derived Outputs” which will be attached to the Engineering Item. These derived outputs can only be displayed in the platform and managed from the CAD application.


Note: derived outputs for Engineering Items are not “attachments”. You can still add “Attachments” to Engineering Items as well as “Specifications” using widgets like “Engineering Release.”
