Introduction
ENOVIA Document Management widget provides you a single point of access for all documents, to view and manage them.
By default, the system manages one file within a document. However, there are cases where you want to manage multiple files as a single document.
This is usually the case when you want to share the same purpose, metadata, security and lifecycle across a group of files. A good example would be an RFP from a prospect that includes several files, such as the list of requirements, the template for your response, the terms, conditions, and referential documents.
To answer all these needs, ENOVIA Document Management application enables you to manage such a content through a single document that contains one or multiple files.
Managing Multiple Files in One Document using 'Document Management' app
Starting fromR2023xFD03, the ENOVIA Document Management application allows you to manage a document with multiple files.
A new tab is available in the Document Management widget, called 'Files', which is available in the Document Information panel.
Using the Files tab, you can:
- Upload new files into the selected managed document
- Preview, update, edit, download, and delete each file separately.
Two views are available in the Files tab:
Tile View – Displays the files with some information such as the file name, the file owner and the modified date.
The Tile View cannot be configured.
Data Grid view – Displays the files in a table format.
By default, the Data Grid view displays the following information:
- File name
- Iteration – every time you edit the file, the file has a new iteration
- Locked By – Indicates if the file is locked and by whom
- Owner
- Modified Date
You can configure the Data Grid table to display more information about each file, such as the File Size, the file Creation Date, File Extension and more.
Once the document is in 'Frozen' or 'Released' maturity state, you can no longer upload files to it nor edit any existing files.
