Introduction
ENOVIA 'Document Management' web application provides a single point of access for all documents across the organization. It enables users to access, manage, and track documents throughout their entire lifecycle.
One of its key capabilities is the ability to manage a single document composed of multiple files. This approach is particularly valuable when files share the same purpose, attributes, security requirements, and lifecycle.
Consider a few everyday examples:
A travel expense claim typically includes several receipts that should be handled as a single unit.
An RFP from a prospect may consist of multiple documents such as requirements, response templates, terms and conditions, and reference materials.
Even creating this blog involves managing a collection of related assets, including the written content, screenshots, and videos.
In ENOVIA, managing documents includes the way you can lock documents along with their files.
This blog will focus on these capabilities.
Lock a Document and/or Its Files
In the 'Document Management' web app, which is part of the 'Collaborative Industry Innovation' (CSV) role, 'Document Lock' and 'File Lock' are designed to address different collaboration needs of the Document.
Starting from 2026xFD01 release, users can choose whether to lock a Document as a whole or lock only individual files linked to it, providing greater flexibility in how collaboration is managed and shared.
Let’s explore the two options:
Lock a Document
A 'Document Lock' secures the entire Document, including its attributes and all associated files. It prevents any other users from making changes.
This option is best suited for document maturity phases such as release preparation, approval workflows, or compliance reviews where strict control and consistency are required.
Lock a File
A 'File Lock', on the other hand, applies only to selected file(s) within a Document. In this case, other users can continue updating Document attributes and/or working on different unlocked files at the same time. This approach supports day-to-day collaboration, allowing multiple team members to contribute in parallel without blocking each other’s progress.
The table below summarizes the key differences between 'Document Lock' and 'File Lock'.
