The Change Action approvers are users who are responsible for validation and approval of the realized changes completed by the assignees of the Change Action. When all approvers complete their approval tasks, the Change Action’s “Realized Changes” are “released” and the Change Action is “completed."
You can add "approvers" in the following ways:
- Individual users
- A list of users using a Route Template (using single person or groups)
Route Template:
- To enable the use of an approver route that contains various approver names, you must define a Route Template, activate it and then use it in the list.
(See the example in the image above ("Eng-Approval" route template))
Then, users in this route template are assigned as approvers in the Change Action.
Note:
The “Route Base Purpose” of the Route Template should be "Approval."
(See following image)
Once the Change Action is promoted to “In Approval” state, a new route is instantiated automatically and the route task assignees receive notifications to approve/reject the Change Action.
Enhancements in R2021x FD07
Route Template creation using “Route Management” widget:
Users can now create a Route Template using the widget “Route Management” (available in the role “Collaborative Industry Innovator” – CSV).
From a change management best practice perspective, it is recommended that the “Title” assigned to each Route Task is the Title the user holds during the approval. For example, Product Manager, Configuration Manager, Sr Mechanical Engineer. The user name and their Titles will be recorded in the released items for regulatory and certification compliance.
To add the template in the Change Action, the “Route Base Purpose” must be set to “Approval.”
The route task flow can be displayed in a grid or a graph view:
New tab “Approvals” in the Change Action:
A new tab in the Change Action displays the route tasks flow when the Change Action is in “In Approval” state:
This route view improves the approval process experience by allowing approvers to graphically visualize the tasks and their status. Moreover, the approvers can open the task and approve/reject directly from this view.
