I am trying to figure out a way to make our company data more robust, and easy to work with. The attached document highlights the specific problem that i ran into, and I needed some help in that.

I went through plenty of posts on forums, and didn't get any clues as to how I should go about solving the problem. kindly see the attached pdf as I tried to summarize the problem, and i believe plenty of wizards can easily give me some direction.
