How to add members to collaborative spaces with responsibilities and use resulting Credentials?

Introduction

Credentials are defined as a combination of three criteria: collaborative space, responsibility, and organization; that is used to determine access to content, apps, and services.

Before creating any new content in the 3DEXPERIENCE Platform, we need to make sure we have the right credentials.

In this blog we are going to learn what is a Collaborative Space, responsibility and an organization. Then we will take a look at the different types of responsibilities that exist in the platform and the actions they allow you to perform.

Finally we will go over how to change your credentials depending on the app you are in.

Composition of credential

Collaborative Space

A Collaborative Space is an area where people with different job functions can work together to produce and deliver content.

Your organization can create as many collaborative spaces as required for your business purposes.
The Platform Manager can add you as a member of any collaborative spaces regardless of your organization membership.

Access to content in collaborative spaces can be public, protected, or private. Accessing content means the ability to search for, explore, view, and open the content.


Organization

An Organization , defines additional partition for content belonging collaborative spaces. For instance, it can be leveraged to manage the disciplines of your enterprise organization.


Responsibility

A Responsibility, defines the level of authorization given when adding a user as member of a collaborative Space. There are different level of responsibility according to what the user is required to achieve.

According to what the user needs to achieve and independently from his business role (engineer, designer, manufacturer, project manager, etc…), he can be added member with responsibility for:

  1. Regular tasks e.g. Reader, Contributor, Author, Leader, etc
  2. Administrative tasks e.g. Owner

Tab1: Permission according to the responsibility

Here are the permission available with the responsibility “Owner” Reads any content of the assigned collaborative space including personal content

  • Creates Administrative/Resources category content (e.g.: Collaborative Spaces, persons, Engineering Template, etc.)
  • Manages collaborative space resources such as persons, standard content, etc.
  • Modifies design content belonging to the collaborative space for repair or exception tasks. Cannot create Design Content.


Changing credentials according to the app


Now that you understand that new content is created in the collaborative space defined by your current credentials, and owned by the organization of your current credentials, let’s see how to make sure you are preparing your 3DEXPERIENCE platform with the relevant credentials.


As a reminder, in the 3DEXPERIENCE platform there are 3 types of apps: Widget, a Web App and a Native App.

Let’s see how to modify the credentials in these apps.


Widget


A widget is an app, which can be placed on a Dashboard tab that allows users to access information or perform actions.

To change the credentials within a widget, you use the “Edit Preferences” to select the right credential (that is consists of Collaborative Space & Responsibility)


Web app


A web app is an app that opens in a separate web browser tab.

Within a Web app, I can change Organization, Collaborative Space and Responsibility.

To change the credentials within a web app, you use the “Credentials” command to select the following:

Native App


A Native App is an app that is loaded onto an external application (such as CAD). These native apps require the installation of media locally, for both On Premise and On Cloud.

Within a Native app, you can change the credentials by changing Organization, Collaborative Space and Responsibility.
